So you're planning a live meeting or event. Many times event planners provide specs that are incomplete, confusing and inaccurate.
Be sure to provide a brief description of your meeting or event and include your goals and expectations. What do you hope to accomplish? It's also ok to ask vendors: "What can you do for X amount of money?" If you're working with the right company, you'll be pleasantly surprised. You may even receive ideas that you hadn't considered!
And ... what about wide screen? If you really want to make an impact and kick up your look and image a notch, wide screen is the way to go. You'll need to produce your source materials in wide screen and your presentation vendor must be knowledgeable about wide screen equipment and application.
Here's a quick reference list of item you should provide to your presentation a/v vendor:
Venue name, location
Meeting/Event Date(s)
Meeting/Event Times. How long is the meeting(s)event(s)?
Set up Date/Time
Audience size
Number of Presenters.
Source materials for each Presenter. What are they showing/presenting? (i.e. PPT, DVD's, music on CD or IPod, etc)
Will "show" computers be provided? If so what type of Computers will be provided? (PC, MacBook, MacBook Pro, other)
Do you need a graphics/computer/PPT operator during your meeting?
Do you need graphic clean-up or design work prior to your meeting or event? If so, describe in detail.
Mic needs for each presenter? (i.e. wireless lav, wireless handheld, podium mic)
Will Presenters use a podium? What type of podium? (Wood, lucite?)
Q&A? How many wireless handheld mics?
Lighting expectations? (Stage wash; moving lights for effects; audience lights; broadcast lighting, gobos, etc)
Will you need webcasting? DSL Connections? Recording of the meeting/event to videotape, DVD, other?
